Five factors decide what you pay

Ultra-basic manual coffee dispensers can list from as low as ₹15,000, but these lack cashless payment and telemetry and aren’t representative of the institutional-grade machines most buyers are actually comparing.

Rent typically runs ₹4,000–₹20,000 a month for a connected smart machine, plus a refundable security deposit of one to three months’ rent. Buying wins on total cost past roughly the first year at a proven, high-footfall site; renting wins when reversibility matters more than long-run savings. There’s also a fourth model gaining ground at Indian institutions: a zero-capex hosted arrangement, where an operator supplies, stocks, and services the machine at no cost to the host site, paying the host a placement fee instead of charging one – the institution earns rather than spends.

Recurring and hidden costs

FSSAI licensing

Any machine dispensing packaged food, prepared food, or beverages needs FSSAI registration or a license – this is non-negotiable for institutional buyers. The FSS (Licensing and Registration) Amendment Regulations, notified 10 March 2026 and effective 1 April 2026, raised the Basic Registration turnover threshold from ₹12 lakh to ₹1.5 crore; State License now covers ₹1.5 crore–₹50 crore, and Central License applies above ₹50 crore. Licenses are now perpetually valid – you pay the government fee once and file an annual Food Safety Compliance Report instead of renewing. Electricity & connectivity

A refrigerated machine costs roughly ₹600–₹1,500 a month to run at typical Indian electricity rates. A non-refrigerated snack machine costs far less – about ₹240–₹900 a month – since there’s no compressor load. Add roughly ₹150 a month for SIM/internet connectivity if the machine reports telemetry over cellular data.

Maintenance, AMC & insurance

Most machines carry a one-year warranty; after that, budget an Annual Maintenance Contract at roughly 10% of the machine’s cost per year. Insurance against damage or theft, once warranty lapses, typically runs about ₹100 a month (₹1,000–₹1,100 annually).
